Cancellation & Refund Policy – Spain Internship

1. Purpose of This Policy
This Cancellation & Refund Policy explains the conditions under which Participants or Companies may cancel services provided by The Student Mobility SLU and when refunds may apply.
It applies to the following services:
Premium Internship Search Services
J1 USA Internship Programs
Recruitment Services
2. General Conditions
Cancellation requests must be made in writing to info@spain-internship.com.
Refunds will be processed using the original payment method, within 30 calendar days after approval.
Refund amounts may be reduced by administrative or processing fees, as specified per service.
No refund will be granted once a service is considered completed or fulfilled.
Force majeure events (natural disasters, strikes, political unrest, legal changes) may alter timelines or refund eligibility, assessed individually.
3. Premium Internship Search Services
3.1. Agreement and Deposit
- Once the service agreement is signed and the deposit paid, requirements cannot be changed.
- Changes will be treated as a voluntary withdrawal, and Spain Internship may stop the placement search.
- The placement search period runs from the deposit payment until the deadline stated in the agreement.
3.2. Deposit and Refund Rules
The deposit is refundable only if no internship matching the agreed requirements is found before the deadline.
Once the candidate is interviewed and accepted for a matching internship, full payment of the remaining fee is mandatory, regardless of whether the candidate chooses to attend the placement.
In the following cases, no refund will be provided and the deposit will be retained:
Voluntary withdrawal after service commencement.
Change in position requirements after acceptance, leading to rejection.
Rejection of an offer matching the agreed requirements due to a lack of or delayed response.
University rejection of a matching placement due to undisclosed requirements.
Rejection of an interview with a matching company without a valid reason.
The student is responsible for providing any required training agreement; cancellations due to lack of this document are not eligible for refund.
All service proposal information is confidential and cannot be shared with third parties.
3.3. Payment Deadlines and Penalties
The total fee must be paid within 2 weeks of receiving the confirmation email.
A late payment penalty of €50 per week will apply after the deadline unless otherwise agreed in writing.
4. J1 USA Internship Programs
4.1. Cancellation Rules
If the participant cancels after placement confirmation, full payment is required, as the service is considered successfully delivered.
If already paid in full, no refund will be granted.
Substitute participants are not allowed.
Program violations by the participant may lead to cancellation without refund.
4.2. Deposit and Refund
The €300 deposit is refundable only if no internship matching the application form requirements is found. Otherwise, it will be retained as an administration fee.
4.3. Visa Refusal
In case of J-1 visa denial by a U.S. consulate or embassy, a partial refund of the DS-2019 application fee may be granted if:
The applicant has not violated U.S. law or visa regulations.
The original DS-2019 form is returned.
The refund request is made within 6 months of the scheduled program start date.
Refund amounts for visa denial:
€500 for programs of 2–6 months
€600 for programs of 7–12 months
5. Recruitment Services
5.1. Companies
Fees are charged only for successful recruitment, defined as a candidate from a collaborating educational entity accepting an internship in the host company.
The cost is determined by factors such as language requirements, educational institution/country, training needs, and duration of stay.
Payment is due in full once the training agreement is signed, except in cases of student cancellation or unsuccessful recruitment.
If the internship ends early, the price may be reduced proportionally to the completed period.
5.2. Students
Basic recruitment services are free for students.
A €150 security deposit is required to confirm a position, refundable 14 days after the internship start date if the placement is honoured.
6. Non-Refundable Situations
Refunds will not be issued if:
The participant fails to meet eligibility requirements after purchase.
The participant voluntarily withdraws after an offer matching the agreed requirements is made.
The participant fails to provide required documents or respond promptly.
The participant rejects matching offers without valid reasons.
Misconduct, unprofessional behaviour, or Terms & Conditions violations occur.
7. Governing Law
This policy is governed by Spanish law, with disputes subject to the jurisdiction of the courts of Seville, Spain.
